This policy explains what personal information I collect when you visit my website or become a coaching client, why I collect it, how I use and protect it, and your rights over it. Capricorn Fitness Ltd ("I", "me", "we") is the data controller responsible for your information. If you have any questions, contact me at mac@capricornfitness.co.uk.
Who I am
Capricorn Fitness Ltd is a UK-registered online strength coaching business based in Fochabers, Scotland. I am a sole coach and the only person who handles your data.
The information I collect
Depending on how you interact with me, I may collect:
Contact details — your name, email address and phone number.
Payment information — handled securely by my payment processor (see below). I do not see or store your full card details.
Health information — where you become a coaching client, you complete a Physical Activity Readiness Questionnaire (PAR-Q) and share relevant health details (conditions, injuries, medications, pregnancy where applicable). This is "special category" data and is treated with extra care (see below).
Training information — your programming, workout logs, feedback and messages, held within the coaching platform.
Website information — like most websites, mine collects limited technical and usage data (such as cookies and analytics) when you visit. See my Cookie Policy for details.
Why I collect it, and my lawful basis:
To deliver your coaching — design your programming, give feedback, and communicate with you. Lawful basis: performance of our contract.
To take payment for coaching. Lawful basis: performance of our contract.
To keep you safe — your health information is used only to screen for risk, design training appropriately, and respond to health changes. Because this is special category (health) data, my lawful basis for processing it is your explicit consent, given when you complete the PAR-Q and waiver, together with the basis of protecting your vital interests where safety requires it.
To run and improve my website. Lawful basis: my legitimate interest in operating the site.
To meet legal and record-keeping obligations (for example tax and accounting). Lawful basis: legal obligation.
How your health information is handled
Your health information is sensitive, and I treat it that way. It is collected only to coach you safely, is seen only by me, is never shared for marketing or any purpose beyond your coaching, and is stored securely. You can withdraw your consent to my holding it at any time — though please note that without the health information needed to coach you safely, I may not be able to continue coaching you.
Who I share your information with
I don't sell your data or share it for marketing. I do use a small number of trusted service providers to run the business, who process data on my behalf:
TurnKey Coach — the coaching platform where your programming, training data and messages are held.
Stripe — my payment processor, which handles your payment securely.
Google (Gmail / Google Workspace) — for email communication with you.
Squarespace — my website provider, which processes limited visitor data.
Some of these providers are based outside the UK. Where your data is transferred internationally, it is protected by appropriate safeguards as required by UK data protection law.
I may also disclose information if required to do so by law, or to protect someone's safety.
How long I keep it
I keep your information only as long as necessary: for the duration of our coaching relationship, and for a reasonable period afterwards to meet legal, tax and record-keeping requirements. Health information is not kept longer than needed for your safe coaching and those obligations. When it is no longer needed, it is securely deleted.
How I protect it
I take reasonable measures to keep your data secure, including strong passwords, restricting access to myself only, and using reputable providers who maintain their own security standards.
Your rights
Under UK data protection law you have the right to:
Ask what information I hold about you and get a copy of it;
Ask me to correct anything that's inaccurate;
Ask me to delete your data (where I'm not legally required to keep it);
Object to or restrict certain processing;
Withdraw consent where I rely on it (such as for your health data).
To exercise any of these, email me at mac@capricornfitness.co.uk. I will respond within one month, and there is no charge. I may need to verify your identity first.
If you're unhappy with how I've handled your data, you can complain to the UK's Information Commissioner's Office (ICO) at ico.org.uk.
